Job Description:
The Coordinator of Shelter, Drop-In and Support Services
provides administrative support and helps to advance program
strategy, impact and operations. They partner with Hiring Managers
and Human Resources to coordinate employee recruitment, new
employee onboarding and employee engagement activities for the
division. The Coordinator of Shelter, Drop-In and Support Services
is responsible for a wide range of administrative functions, as
well as event planning and special projects.Reports To: Director of
Shelter, Drop-In and Support Services Schedule: On-site Monday
through Friday 9:00AM to 5:30PMessential duties Administrative
Tasks
- Provide administrative support, such as data entry, employee
requirements tracking, draft and update program documents, schedule
training, meeting agenda and notes, and other program specific
reports as requested.
- Collaborate with Hiring Managers and Human Resources to
coordinate the preliminary stages of employee recruitment and
hiring (i.e., screening applications, telephone screens, scheduling
interviews, etc.), and new employee orientation.
- Collaborate with program employees and the Risk and Compliance
team to support Performance and Quality Improvement (PQI) data
entry, gathering, report preparation and the submission
process.
- Collaborate with Data Systems and Analytics (DSA) to support
program needs for implementing increased focus on data reporting,
analysis, and outcomes.
- Order, stock and distribute supplies as requested by program
services.
- Serve as the liaison between Information Services (Information
Technology and Data Systems and Analytics) and program employees to
support effective utilization and training on agency technology
platforms and databases (e.g., HMIS, SharePoint, Youthforce, MS
Teams, etc.) Program Operation Tasks
- Collaborate across the agency with different departments and
divisions to enhance cross-agency engagement and partnerships
(i.e., Diversity, Equity and Inclusion, Facilities, Human
Resources, Marketing and Communications, Safety Committee,
etc.).
- Collaborate with Volunteer and In-Kind, to identify and
advocate for program needs and coordinate training schedules for
volunteers.
- Coordinate and plan program-related events such as employee
outings and cultural events in collaboration with the Office of
Diversity, Equity and Inclusion, agency employees, program
services, etc.
- Assist with the implementation of gathering the input of youth
and young adults, through supporting advisory board, enhanced
response through focus groups and client satisfaction surveys as
requested.Community Outreach and Engagement
- Attend community and outreach engagement events as
requested.
- Support community partnerships to increase community engagement
in program services.
- Support program teams to identify and coordinate events and
opportunities for clients to get involved in community events.
- Collaborate with the Human Resources Recruiter to support
recruitment events and engagements to assist with filling vacancies
within the division. job requirements a. Education and
Experience
- High School Diploma or General Education Diploma (GED).
- Minimum of 2 years of relevant working experience.
- Demonstrated knowledge of MS365 Power Platform.b. Additional
Requirements
- Must satisfactorily pass criminal history check.
- Must satisfactorily pass tuberculosis (TB) test.
- Must have reliable transportation and a valid Washington State
driver's license (or be able to obtain one by date of
employment).
- Employees and volunteers who operate their own or Friends of
Youth vehicles on Friends of Youth business, must have a safe
driving record as defined by Friends of Youth.
- Employees and volunteers who operate their own vehicle(s) on
Friends of Youth business must carry auto liability insurance that
complies with the requirements of Friends of Youth.
- Must successfully complete the following health certification
requirements within 30 days of employment: CPR, First Aid and
Bloodborne Pathogens.
- Proof of COVID-19 vaccination is required. There are no

locations in personal vehicle (mileage reimbursement
provided).
- Proficient skill set with Microsoft Office programs. We
